In order to continue our organic growth, we have a need for an Office & Systems Manager who can relate to our vision for technical excellence and innovation.

The role

We are looking for someone to assist us with all aspects of office management in addition to office automation and systems improvement functions. The Office & Systems Manager’s role has two (2) primary parts:

  • management of the administrative functions of a boutique law firm; and
  • improving the quality and consistency of service delivery though implementation and use of new technologies, training and knowledge management.

Office management

The successful candidate will be responsible for some administrative tasks such as issuing receipts and invoices, although this is only a small part of the role. This part of the role involves:

  • Updating legal precedents using our document assembly system;
  • Migrating precedent documents to SharePoint.
  • Managing document production using Doxsera.
  • Ensuring the presentation of documents is in accordance with the firm’s style guide;
  • Completing work associated with matter creations, engagement letters and file closings; and
  • Ensuring that the firm’s procedures manual is updated when changes to the system are implemented.


Using the existing cloud-based practice management system, the document assembly system, SharePoint and other apps, the role will be focused on knowing all of the parts of the system and identifying improvements that can be made for improved efficiencies and customer service. This aspect of the role involves:

  • ensuring that the members of the team are trained in improvements made thought SharePoint.
  • migrating to become SharePoint administrator over time;
  • liaising with external SharePoint consultants on identified system improvements;
  • working with external practice management consultants;
  • producing training videos using Camtasia.
  • creating various forms of skills testing to ensure the effectiveness of training conducted using the firm’s LMS;

What you will bring to the role

  • You will have at least 5 years experience in an office management position (preferably professional services) and ideally experience in a law firm;
  • You will be a problem solver who has the ability to lead but is also hands on to get the job done.
  • You will have some experience with the cloud-based version of SharePoint.
